Hi, I’m Lauren - the VP of Growth & Development - I’m located in Toronto and I support overall Growth & Business Development (sales) initiatives at the Agency. I’m looking for an experienced Executive Assistant to join my team and help support with managing my day-to-day tasks.

The Executive Assistant will have the ability to work one-on-one with me as well as work independently on projects, from conception to completion. If you have attention to detail, thrive in a fast-paced environment, have the ability to work under pressure, and handle a variety of activities and confidential matters with discretion, then this is the right position for you!

I’m looking for an Executive Assistant who thrives in a fast-paced environment, is highly organized with attention to detail, and is a mastermind when it comes to scheduling. As the sales pipeline is continuous, this individual must be able to exercise good judgment in a variety of situations, have strong communication and organizational skills, and maintain a realistic balance among multiple priorities.

  • Strong attention to detail, as you will be a main point of contact for external relations
  • Proficient in Google Suite (Calendar, Sheets, Docs, & Slides)
  • Effective time management and organizational skills - with the ability to prioritize tasks properly and meet tight deadlines
  • Strong communication skills - both verbal and written
  • Excellent interpersonal skills with the ability to build relationships
  • Ability to be nimble - adapt quickly to changing or evolving priorities
  • Ability to work independently with minimal direction
  • Strong critical thinking and problem-solving capabilities

What You'll Get To Do:

The main goal of the Executive Assistant is to work closely and effectively with the VP Growth & Development to keep them well informed of upcoming follow-ups, tasks, commitments and responsibilities. Day-to-day responsibilities include:

  • Administration support: manage an active calendar, schedule meetings, take meeting notes, write emails to external and internal partners, write to-do lists, prioritize and follow-up with incoming tasks, complete expense reports, organize day-to-day tasks
  • Sales support: draft and edit proposals, credentials decks, and contracts (PandaDoc); develop sales briefs for new leads; manage a sales pipeline in Hubspot; coordinate with multiple departments (as required)
